Hours
Eucalyptus Point Conference Center is open seven days a week for your events. Our normal business day is 7:30 am to 5 pm. We are closed University holidays. We suggest that you book early for best availability.

Your Room Rental
Your room rental includes tables and chairs, a registration table and chairs, house linens, high speed internet access, use of house phone lines, and water service.

Food and Beverages
UCSD Catering is the exclusive caterer for Eucalyptus Point Conference Center. No outside food or beverages may be brought into the facilities.

In addition to the room rental charges, there is a food and beverage minimum for every reservation. These rates are based on a minimum amount of food and beverage that must be ordered through UC San Diego Catering to guarantee the space. If you’re not able to meet these minimums, your room rental charge will increase accordingly.

Based on public health and safety concerns, UC San Diego Catering does not package leftover perishable foods.

Guaranteed Attendance
Guaranteed guest count must be submitted no later than three (3) working days prior to your event. This number cannot be reduced.

If the number of guests exceeds the guarantee, the client will be charged for the actual number attending. If a final guarantee is not submitted, the original contract guest count will be used for billing purposes.

Furniture
Furniture setups are included at no additional cost provided that we can fulfill your requirements utilizing our existing inventory. Additional charges will be incurred for furniture rentals and specialty linens.

Audiovisual
Media Services has an inventory of audiovisual equipment and have many resources to obtain additional equipment if necessary. Equipment is delivered, set-up and operated by their staff of qualified Audiovisual Technicians. An estimate of equipment rental and labor will be provided once your requirements are communicated to us. For further information go to Media Services or contact them at 858.534.5784

Staff
Service staff is arranged through your Event Manager. The following chart will help give you a general idea of what your event may require.

Confirmation
Your reservation is considered tentative until a deposit or University recharge is received along with a signed copy of your contract. We reserve the right to cancel your room reservation until payment is received. In the event we receive another inquiry for the use of the space, we will allow you the opportunity to confirm/guarantee with payment within three (3) business days.

Meetings and event service times provided on your contract are considered accurate and final. Events with unscheduled delays or overtime will incur and additional fee.

Payment
A University recharge number or 50% of the estimated costs is required to Eucalyptus Point. Final payment by non-University client is due seven (7) days prior to the event.

UCSD Catering accepts index numbers from University departments and student organizations. Sales tax is not charged when an index number is provided for full payment of an event. Full payment must be received within two weeks of the final billing.

As a courtesy, we waive the customary 18% service charge for UC affiliates.

Cancellations Policy
Cancellations are accepted up to fourteen (14) working days prior to your scheduled event. If a cancellation is received after that point, a refund may be given, based on the ability to re-book that space. Cancellations within 48 hours will be charged 100% of all estimated costs.

Alcohol Policy
Alcoholic beverages may be served at Eucalyptus Point. It is the responsibility of the engager to obtain the required permits, insurance and signatures prior to the event. Bartenders are required for all alcohol events and will be charged to the event final bill. UC San Diego Catering is not licensed to purchase the alcohol, however, we will gladly specify quantities, place orders and staff your event. All payment for alcohol is to be made directly by the client to the vendor, or the client may provide his or her own.

Insurance
UCSD requires additional million-dollar liability insurance for off campus non-sponsored groups. Visit the UCSD Risk Management website or call 858.534.4237 for more information.

Conditions of Facilities
You may not affix anything to the walls or other surfaces in the meeting rooms without prior approval from you UCSD Catering sales manager. Any damage caused by members of your event will be added to your final bill. Additional charges will be incurred for extraordinary clean-up or trash removal.

Signs
A listing of daily events is posted in the lobby to direct your arriving guests. You may provide additional signs in outdoor locations. Please make certain that all signs you provide are removed promptly at the conclusion of your events.

Advertising Materials
Non-University clients must submit any advertising materials that mention UCSD to their UCSD Event manager for approval in advance of printing and distribution.

Event Restrictions
Eucalyptus Point conference facilities are located on the UCSD campus within Thurgood Marshall college. As such, only events that can coexist appropriately with student activities can be accommodated. All outdoor events must comply with UCSD’s 10 pm noise curfew.

Parking
Parking at UCSD is limited. Parking is free of charge Saturdays, Sundays, and University holidays. “Pangea” is the closest parking structure, and P308 (La Casa) is the nearest parking lot. Reserved spaces, signs, and other special parking arrangements may be coordinated through UCSD Parking at 858.534.0274.
